Ability to control which users can send mail and who cannot
closed
We need a user level toggle to disable certain users from sending emails out all together from whole of work manager.
This is useful when we are onboarding a new joinee and want to safeguard against wrong emails going out.
Note: Though they cannot send emails they should be able to save the drafts for review by others.

Include ability to Send email as a setting to enable/disable in Custom role set up

We have users who might perform a review/audit role and we want to give them read access only to various lines of Business in Enate. Unfortunately, as much as we have restricted the role we want to give them, we find they can still send emails which we absolutely don't want. But there is no setting in the Custom role set up to stop this.

Hey Elaine Dennehy, thanks for your feedback! I have a few more questions for you:
- What specific scenarios or tasks do these users need to perform that require read-only access?
- Are there any other permissions or restrictions you would like to apply to this custom role?
- How frequently do these users need to access the system, and are there any specific times or events when this restriction is most critical?

Have a User Operational role - read only

As a user, we would want an external auditor to be given access to Enate system and have a role where they can only see the packets which they have access to but not be able to send emails. Currently they are not able to assign or change status but they are able to send emails (which looks strange).

Claudine Richardson -
- We will control that with User Groups
- As of now other functionalities looks restricted, only emails sending out should be restricted
- No such conditions, if needed we can alter the access via User roles

Great to hear your perspective, Navaneeth Kumar S! I have a few more questions for you:
- Can you provide more details on the specific packets the external auditor should have access to?
- What other functionalities, apart from sending emails, should the external auditor be restricted from?
- Are there any specific conditions or scenarios where the external auditor should be allowed to send emails?

Ability to restrict use of Emails

It would be great to have the option to restrict a user's ability to send Emails from Enate.
This would ideally need to be a User Role permission rather than an option in the Work Item configuration as we may have multiple teams working on the same Work Items with some Users that can email out and others that can't.

Hey Orlando Martel, thanks for your feedback! I have a few more questions for you:
- Can you provide more context on why some users should be restricted from sending emails? What is the business need behind this request?
- Are there specific scenarios or types of work items where this restriction should apply?
- Should there be a process for users to request permission to send emails, or is this a permanent restriction based on their role?

Hi Claudine Richardson,
- In our case, we require this access restriction for a 3rd party outsourced team that are completing the operational side of a process but we don't want them having the ability to email out to external contacts.
- In our case, we would require this to cover all outgoing email functionality (On Tickets, Cases and Actions).
- For the above mentioned example, this would need to be a complete restriction. However, in other cases, restricting users by requiring permission may be helpful. Potentially worth having both options...

Hi All,
We are not planning to add this limit/permission to the product at this moment. We are thinking about broader user skill/seniority and other parameters in the work allocation algorithm in the future roadmap.
For now, I will suggest you should talk to your email admin and configure the rule at mail server level to block outgoing email outside of your organisation. Here is one article on the same – https://www.codetwo.com/admins-blog/how-to-prevent-office-365-users-from-sending-emails-outside-organization/
Thanks,
Kamal
